MANUSCRIPT STABILIZATION (CRITICAL DEFINITION)

Stabilization is pre-formatting technical preparation required when a manuscript is not in a condition that allows standard formatting and submission handling to begin.

A manuscript is considered unstable if one or more of the following are present:

Structural Instability

  • Missing required sections (e.g., no methods, no conclusions, incomplete abstract)
  • Sections merged or disordered in a way that prevents alignment
  • Placeholder text (e.g., “insert table here,” “refs pending”)

File Instability

  • Figures or tables missing, incomplete, or not provided as separate usable files
  • Inconsistent or unusable file formats (e.g., embedded images that cannot be extracted)
  • Broken or missing supplementary materials

Reference Instability

  • Incomplete reference list
  • Citations present in text but missing from reference list (or vice versa)
  • Severely inconsistent citation formatting that prevents normalization

Data/Link Instability

  • Referenced tables/figures not matching those provided
  • Non-functional links to supplementary material
  • Missing identifiers for referenced datasets or materials

What Stabilization Includes

  • Reconstruction of a complete, usable manuscript file set
  • Alignment of sections into a format that can be processed
  • Basic reconstruction of reference list structure (no new references added)
  • Organization and labeling of files so formatting can proceed
  • Identification and return of unresolved deficiencies to authors

What Stabilization Does NOT Include

  • Writing or rewriting missing sections
  • Creating figures, tables, or data
  • Completing references using external searches
  • Interpreting or correcting scientific content

Stabilization Fee

Applied when required before standard service can begin:

  • $200 – $500, depending on severity of instability

If instability is extensive, the manuscript will be returned to the author for correction before processing continues.
